Built for how rent actually gets collected here
Most rental software assumes a bank transfer, a card on file and a tenant who reads email. That isn’t how it works in Kampala. Rent arrives as a MoMo alert at 11pm, as cash at the front desk, as a bank slip photographed and sent to a group chat. Receipts get written in a book. And at the end of every month somebody rebuilds the same landlord statement from scratch.
We built Chrx Rental Manager around that reality instead of apologising for it. Cash is a first-class payment method, not an afterthought. WhatsApp is a delivery channel, not a nice-to-have. A shared hostel room is four tenancies, not one. And your landlords get their own login so they stop calling you on the 3rd of every month.
It’s deliberately narrow. There’s no maintenance ticketing and no chat inbox. What it does — tenancy, money, receipts and reporting — it does completely, and the financial records it keeps will stand up when someone questions them a year later.
Questions we get asked before every demo
Half my tenants pay cash. Is this still for me?
Yes — mobile money is an option, not a requirement. Staff record cash, bank transfers and mobile money the same way, in about fifteen seconds, and every one of them produces the same numbered receipt with the same running balance.
You can print that receipt to a small Bluetooth thermal printer at the desk and hand it over immediately, or send it to the tenant as a PDF. Plenty of our users never switch on online collection at all and still get the full benefit: one ledger, real receipts, and landlords who can see their own numbers.
Where does my data live, and who can see it?
On your own website, on your own domain, under your control. One company per installation — your tenants, leases and financials are never mixed with another business’s, and nothing is shared with anyone.
Inside your account, access is tightly scoped: staff see only the properties they’re assigned to, landlords see only the properties they own, and tenants see only their own lease. That scoping is enforced on the server at the database query level, not by hiding menu items.
I already track everything in Excel. What actually changes?
Four things a spreadsheet can’t do. Charges appear on schedule without anyone creating them. Tenants check their own balance and download their own receipts instead of calling your office. Landlords log in and pull their own statement — including expenses and net income — whenever they like. And financial records are append-only, so a figure can’t be quietly changed after the fact.
You don’t start from nothing, either. We load your existing properties, units, tenants and open balances during setup, so day one looks like your business, not an empty screen.
Do you handle maintenance requests?
No, and that’s a deliberate choice rather than an oversight. Chrx Rental Manager covers tenancy and money — leases, charges, payments, receipts, expenses and reporting — and covers them thoroughly. Repair ticketing and two-way messaging aren’t included.

What does it cost?
One flat fee for your whole company — never a percentage of the rent you collect, and never a charge per unit or per tenant. Adding a property doesn’t increase your bill.

Do tenants need to download an app?
No. The tenant portal is a mobile web page that opens in whatever browser is already on their phone. They get an invite link by WhatsApp and email, set a password once, and that’s it — nothing to install, nothing to update, and it works on a modest handset over a weak connection.
What do I need for the WhatsApp messages to work?
A WhatsApp Business account with a verified business and an approved sender number. Message templates for reminders, receipts and portal invites have to be approved by Meta before the first send — that’s a real step that takes a few days, so we start it early in your setup and handle the paperwork with you.
Email works from day one regardless, and the two channels are independent: if a WhatsApp message ever fails, the email copy still goes out and the failure is logged so you can see it.
Does it work outside Uganda, or in another currency?
Yes. The system runs in whichever single currency you set, and everything except the online collection step is currency-agnostic — Kenya, Tanzania, Rwanda, Ghana and Nigeria all work the same way.
Online mobile money collection depends on the payment provider supporting your currency. Where it doesn’t, staff record payments manually and every other feature behaves identically.
Can I really print receipts on a small Bluetooth printer?
Yes. Every receipt has a narrow print layout in both 58mm and 80mm widths alongside the normal A4 version. You pair the printer to your phone the usual way, and the receipt prints from your browser like any other document — no special app of ours required and nothing to configure on the printer itself.
What if a tenant pays cash while an online payment is still pending?
The system warns your staff at the moment they try to record it, naming the pending transaction so they can check first. If both payments genuinely land, both are recorded — the money really did move — and the excess becomes credit applied automatically to the tenant’s next charge. Nothing gets silently dropped or double-counted.
Can I delete a payment I entered by mistake?
No, and that’s the point. Payments, charges and receipts are permanent records. A mistake is corrected with a reversing or adjusting entry that stays visible in the ledger, so the history always explains itself — which is exactly what you want when a landlord or a tenant questions a figure from eight months ago.
Tenants, units and properties you no longer need are archived and can be restored, rather than destroyed.
How long does setup take?
Most companies are fully live within two weeks of the demo — faster if your current records are already in a spreadsheet, slower if we’re typing up a hundred leases from paper. WhatsApp approval from Meta is usually the longest single step, which is why we start it first.
