Built for property managers in Uganda

Rent collected. Receipts sent. Landlords paid.

Chrx Rental Manager runs your whole portfolio from one screen — properties, units, tenants, leases, payments and reporting. Tenants pay by MTN MoMo or Airtel Money from their own phone, receipts go out on WhatsApp automatically, and every landlord gets a statement that produces itself.

A 20-minute walkthrough using your own portfolio numbers. No obligation, no card.

The month-end ritual

Collecting the rent isn’t the hard part. Proving it is.

Most property offices are running four systems at once: a notebook, a group chat, a folder of MoMo alerts and somebody’s spreadsheet. Here’s where that breaks.

Nobody agrees who has paid

Money arrives as MoMo alerts, cash at the desk and bank slips forwarded on WhatsApp. By the 10th, three people have three different answers about the same tenant.

Receipts written by hand

A tenant asks for proof of a payment from March. Someone goes looking through a book — and the number they find doesn’t match the ledger.

Landlords who call every week

Each owner wants their own numbers. You rebuild the same statement, per landlord, every single month, and you still get the “how much came in?” phone call.

Leases that quietly expire

Nobody notices a lease ended until the tenant is three months into an agreement that no longer exists — and the rent hasn’t been raised since 2023.

01 · Getting paid

Tenants pay from their phone. The books update themselves.

Your tenant opens their portal, taps Pay Now, and the mobile money prompt arrives on their own handset. When it confirms, Chrx records the payment against the right charge, generates a numbered PDF receipt and sends it to them on WhatsApp and email — before anyone in your office has touched a keyboard.

  • MTN MoMo and Airtel Money collections, with cards and bank transfer through the same flow
  • Cash and bank payments recorded by staff in seconds, producing the identical receipt
  • Part payments and overpayments handled properly — extra money becomes credit against the next charge, automatically
  • Late fees applied once per overdue charge, after a grace period you set. Never compounding, never a surprise.
  • Every payment permanent and auditable. Corrections are adjusting entries, never quiet deletions.

02 · Reporting to owners

Give every landlord their own login. Never build another statement.

Each landlord signs in and sees only their own properties — occupancy, rent collected, expenses and net income for any period they choose, downloadable as PDF or CSV. One owner can never see another owner’s numbers. That isn’t a filter someone has to remember to apply; it’s enforced at the database.

  • Income, expenses and net on one statement — not just what came in
  • Record water, electricity, salaries, tax, cleaning or your own categories against a unit, a property or the whole business
  • Recurring expenses post themselves each month, quarter or year
  • A wrong entry is voided with a reason and dropped from reports — the audit trail survives intact
  • Read-only by design: landlords see everything about their properties and can change nothing

Business-wide costs are shown on management reports only and are never allocated to an owner’s statement without your instruction.

03 · Hostels & shared rooms

Four beds in one room. Four separate ledgers.

Set a room’s capacity to the number of beds and every occupant gets their own lease, their own balance, their own receipts and their own portal login. Occupancy counts beds filled against beds available — not a room marked “occupied” while three of its four beds sit empty.

  • Capacity-based rooms: one space, many independent tenancies
  • Monthly, quarterly, semester, annual or custom billing cycles on the same engine
  • Semester length set once to match your institution’s calendar
  • Occupancy reported honestly as beds filled — “3 of 4”, not “occupied”
  • Occupancy type, self-contained flag and free-form amenity tags, so you can find the right space in seconds

One system, not five subscriptions

No add-on modules, no per-feature upsells. Every account gets all of it.

Properties & units

Unlimited properties and units, with status, rent, bedrooms, occupancy type and amenity tags. Filter and search instantly.

Tenant records

Contact details, national ID, WhatsApp number and next of kin — everything you actually need when you need to reach someone.

Leases & renewals

Start and end dates, deposits, billing day and cycle. Renew with one click; the old lease is closed and linked to the new one.

Automatic charges

Each period’s rent charge is created ahead of its due date, on schedule, for every active lease. Nobody has to remember.

All payment methods

Cash, bank transfer, MTN MoMo, Airtel Money, card. Recorded manually or collected online — same ledger, same receipt.

Numbered receipts

Sequential PDF receipts on every payment, delivered by WhatsApp and email and downloadable from the tenant’s portal forever.

Thermal & A4 printing

Print a receipt at the desk on a small Bluetooth thermal printer (58mm or 80mm) or on ordinary A4. Both layouts built in.

WhatsApp notifications

Reminders, receipts and portal invites reach tenants where they actually read — not an email inbox nobody opens.

Renewal reminders

Staff, owners and tenants warned before a lease expires, at intervals you choose. Longer lead times for annual and semester leases.

Expense tracking

One-off and recurring costs against a unit, a property or the business, with the invoice attached. Voided, never deleted.

Scheduled alerts

Compose your own message — water shut-off, gate code change, rent increase notice — and schedule it once or on repeat.

Move-out notices

Tenants give notice from their phone. The system computes the earliest legal move-out date and the rent owed through it.

Scoped staff accounts

Each staff member sees only the properties they’re assigned. No settings access, no other people’s portfolios.

Document storage

Signed leases, ID copies, inspection photos and invoices, attached to the tenant, unit or lease they belong to.

Tenant self-service

Balance, lease terms, payment history and receipts — on the tenant’s phone, so the calls to your office stop.

Reports & export

Occupancy, arrears, collections, expenses and net income for any date range. Export to CSV or PDF whenever you need it.

Three different people, three different views

Everybody gets what they need. Nobody sees what they shouldn’t.

How you get started

We set it up. You don’t touch a technical thing.

Chrx Rental Manager runs on your own website, under your own domain, in your company’s name. We do the installation and the data loading.

1

A 20-minute call

Tell us how many units you manage, how you bill, and who needs access. We show you the system running on numbers that look like yours and tell you honestly whether it fits.

2

We set it up on your site

We install it on your domain, load your properties, units, tenants and current balances, and configure your billing days, late-fee rules, notice period, mobile money and WhatsApp sending.

3

You go live

We train your staff on the screens they’ll use daily, then send portal invites to your tenants by WhatsApp and email. Most companies are fully running within two weeks.

Why we built it

Built for how rent actually gets collected here

Most rental software assumes a bank transfer, a card on file and a tenant who reads email. That isn’t how it works in Kampala. Rent arrives as a MoMo alert at 11pm, as cash at the front desk, as a bank slip photographed and sent to a group chat. Receipts get written in a book. And at the end of every month somebody rebuilds the same landlord statement from scratch.

We built Chrx Rental Manager around that reality instead of apologising for it. Cash is a first-class payment method, not an afterthought. WhatsApp is a delivery channel, not a nice-to-have. A shared hostel room is four tenancies, not one. And your landlords get their own login so they stop calling you on the 3rd of every month.

It’s deliberately narrow. There’s no maintenance ticketing and no chat inbox. What it does — tenancy, money, receipts and reporting — it does completely, and the financial records it keeps will stand up when someone questions them a year later.

Questions we get asked before every demo

Half my tenants pay cash. Is this still for me?

Yes — mobile money is an option, not a requirement. Staff record cash, bank transfers and mobile money the same way, in about fifteen seconds, and every one of them produces the same numbered receipt with the same running balance.

You can print that receipt to a small Bluetooth thermal printer at the desk and hand it over immediately, or send it to the tenant as a PDF. Plenty of our users never switch on online collection at all and still get the full benefit: one ledger, real receipts, and landlords who can see their own numbers.

Where does my data live, and who can see it?

On your own website, on your own domain, under your control. One company per installation — your tenants, leases and financials are never mixed with another business’s, and nothing is shared with anyone.

Inside your account, access is tightly scoped: staff see only the properties they’re assigned to, landlords see only the properties they own, and tenants see only their own lease. That scoping is enforced on the server at the database query level, not by hiding menu items.

I already track everything in Excel. What actually changes?

Four things a spreadsheet can’t do. Charges appear on schedule without anyone creating them. Tenants check their own balance and download their own receipts instead of calling your office. Landlords log in and pull their own statement — including expenses and net income — whenever they like. And financial records are append-only, so a figure can’t be quietly changed after the fact.

You don’t start from nothing, either. We load your existing properties, units, tenants and open balances during setup, so day one looks like your business, not an empty screen.

Do you handle maintenance requests?

No, and that’s a deliberate choice rather than an oversight. Chrx Rental Manager covers tenancy and money — leases, charges, payments, receipts, expenses and reporting — and covers them thoroughly. Repair ticketing and two-way messaging aren’t included.

If maintenance workflow is the main thing you’re shopping for, we’re not the right fit, and we’ll tell you that on the call rather than let you find out three weeks in.

What does it cost?

One flat fee for your whole company — never a percentage of the rent you collect, and never a charge per unit or per tenant. Adding a property doesn’t increase your bill.

The exact figure depends on the size of your portfolio and how much setup and data loading you need, so we quote it on the call once we’ve seen what you’re working with. Book a demo and you’ll have a number the same day.

Do tenants need to download an app?

No. The tenant portal is a mobile web page that opens in whatever browser is already on their phone. They get an invite link by WhatsApp and email, set a password once, and that’s it — nothing to install, nothing to update, and it works on a modest handset over a weak connection.

What do I need for the WhatsApp messages to work?

A WhatsApp Business account with a verified business and an approved sender number. Message templates for reminders, receipts and portal invites have to be approved by Meta before the first send — that’s a real step that takes a few days, so we start it early in your setup and handle the paperwork with you.

Email works from day one regardless, and the two channels are independent: if a WhatsApp message ever fails, the email copy still goes out and the failure is logged so you can see it.

Does it work outside Uganda, or in another currency?

Yes. The system runs in whichever single currency you set, and everything except the online collection step is currency-agnostic — Kenya, Tanzania, Rwanda, Ghana and Nigeria all work the same way.

Online mobile money collection depends on the payment provider supporting your currency. Where it doesn’t, staff record payments manually and every other feature behaves identically.

Can I really print receipts on a small Bluetooth printer?

Yes. Every receipt has a narrow print layout in both 58mm and 80mm widths alongside the normal A4 version. You pair the printer to your phone the usual way, and the receipt prints from your browser like any other document — no special app of ours required and nothing to configure on the printer itself.

What if a tenant pays cash while an online payment is still pending?

The system warns your staff at the moment they try to record it, naming the pending transaction so they can check first. If both payments genuinely land, both are recorded — the money really did move — and the excess becomes credit applied automatically to the tenant’s next charge. Nothing gets silently dropped or double-counted.

Can I delete a payment I entered by mistake?

No, and that’s the point. Payments, charges and receipts are permanent records. A mistake is corrected with a reversing or adjusting entry that stays visible in the ledger, so the history always explains itself — which is exactly what you want when a landlord or a tenant questions a figure from eight months ago.

Tenants, units and properties you no longer need are archived and can be restored, rather than destroyed.

How long does setup take?

Most companies are fully live within two weeks of the demo — faster if your current records are already in a spreadsheet, slower if we’re typing up a hundred leases from paper. WhatsApp approval from Meta is usually the longest single step, which is why we start it first.
